Practical AI for small and medium businesses

How a property management agency could save about $67,000 a year in staff time with AI

At a glance

The short version

What AI does

The AI in your property-management software drafts replies to tenant and owner emails, and turns maintenance requests into briefs with photos and missing details. Urgent repairs go straight to a person.

What it costs

About $17,000 to set up and $1,125 a month to run with AI automation.

What it saves

Pays for itself in about 6 months, then about $67,000 a year in staff time, after running costs.

This is an illustrative example, not a past client project. It uses AI features the vendors document today and our cost model. Your own figures depend on your workload and costs.

How AI helps

Today: An agency with 15–40 staff managing 2,000–4,000 properties, handling about 700 maintenance messages a week. Each maintenance message means finding the property, working out the issue, chasing missing details and replying: about 10 minutes, hundreds of times a week.

What AI does

  1. PropertyMe’s “Reply with AiMe” reads the whole email thread and drafts a reply; nothing is sent until the property manager reviews it.
  2. Kolmeo’s Tenant Assistant, or Tapi’s Tenant Concierge, guides tenants to log the issue, location and photos and creates the request.
  3. If a photo shows a hazard such as exposed wiring or gas, Kolmeo’s assistant stops and directs the tenant to the property manager or emergency services.

Your team still

  • Review and send every reply.
  • Handle urgent repairs directly, including after hours.
  • Approve jobs and choose tradespeople.
  • Handle rent, bond, notices and disputes.

Tools: PropertyMe AiMe, Kolmeo or Tapi. We use the AI in the software you already have. If it has none, Copilot in Outlook can draft replies and briefs instead.

Our view: Your property software’s own AI keeps tenant information inside that system. An agent adds a second place where tenant data is processed, so it needs a privacy review first.

AI automation

Pros

  • AI is built into PropertyMe, Kolmeo and Tapi
  • Tenant information stays in your property system
  • Kolmeo’s AI is included and flags hazards in photos

Cons

  • PropertyMe’s AI needs the Advanced plan
  • Features differ between systems

AI agent

Pros

  • Works across your inbox and systems
  • Not tied to one software vendor
  • Cheaper to set up

Cons

  • Tenant information is processed in a second system outside Australia
  • Risk of misjudging how urgent a request is
  • Needs about three agent seats
How an AI agent would do it
  1. The dot checks the maintenance inbox and drafts a brief for each request: property, issue, photos and missing details.
  2. It drafts the reply asking for missing details.
  3. It sends anything that may be urgent straight to the property manager instead of drafting.

Before you decide

If the saving is smaller

If AI saves 25% less time than we assume, AI automation pays for itself in about 7 months and saves about $46,875 a year. These figures value every hour saved at the hourly cost, because your team can put the time into other work, such as more clients or fewer extra hours.

What we check first

  • Your weekly count of maintenance messages and time per message.
  • Your current plan and what AI it includes.
  • An agreed urgent-repair and after-hours escalation rule.
  • What your team will do with the time saved, such as more client work or fewer extra hours.

Not included: Tenant selection, rent or bond decisions, legal notices, choosing tradespeople and approving spend.

AI Savings and ROI

Choose your type of business and enter the hours each person spends on the simple tasks. It uses the same evidence and costs as the examples on our blog.

Typical work AI can help with

Simple tasks

  • Reading invoices, orders and forms, and entering the data
  • Answering customer and client emails
  • Following up, reminders and scheduling

Complex tasks

  • Preparing customs entry data from invoices and packing lists, for checking
  • Tracking consignments across carrier portals and alerting customers to delays
  • Building quotes from rate sheets and surcharges for routine lanes
  • Analysing on-time, cost and volume data by lane and customer, and reporting on trends
  • Researching rates, routes and competitors, and writing market reports

A rough total is fine.

Wage plus on-costs like super and leave, often 20–30% more. Time saved is valued at this rate.
